How to Use a Teams Resource Room

This process is very similar to creating a standard meeting.  There are some photos below showing the process from Teams.  Outlook will be very similar to this, especially is using the new Outlook or Outlook for the Web.


  1. Navigate to the Calendar section of Teams by selecting Calendar on the left bar.
  2. Select the option for new meeting, or select the dropdown arrow and select Schedule meeting.
  3. In the new window that opens, enter a title for your meeting. Then search for "conferenceroom" and select the autocomplete option that appears.
  4. If the room is available, you will see Free under the name.  If it is not you will see Busy. This means the room is unavailable at that time.
  5. Add details in the body, and hit send on the top right.  The room will automatically accept the meeting and the status will update within a minute or two.  It will also auto-accept cancellations to free up the time for others if the room will no longer be taken.
